Dynamic forms in mobileX-MIP for Field Service

For many companies, forms are a key part of the documentation of processes in service and maintenance. Often the diversity of existing forms is an obstacle to the consistent digital implementation of company processes. Dynamic forms for mobileX-MIP can help here.

Whether handling start-up certificates, tracking returns, performing the status evaluation of systems, checklists, etc., today there are many types of forms throughout the service processes of companies. Factors driving this multitude of forms include legislation, service management, internal quality assurance, controlling, and often customers themselves. The costs associated with paper logging and subsequent electronic entry often play a central role in the decision to move to mobile IT solutions. What is needed is a simple technology that allows for the creation of electronic dialogs from paper forms where the data can immediately flow back to the company in digital form. Downstream processes such as material orders, job orders, purchase orders should then be initiated there automatically using the acquired data.

The costs of the digital conversion of existing forms incurred when moving to a mobile enterprise solution often run so high that ultimately conversion is only feasible for the most important forms. The remaining forms are either discontinued or continue to be completed manually and then entered manually as needed by office-based staff.

The dynamic forms in mobileX-MIP allow you to centrally create and roll out any number of forms with simple means. Companies can use common XML standards to create their own new forms or modify and extend existing ones with little effort.

Dynamic forms offer various options for entering and recording values:

  • Labels, lists and pages
  • Text boxes
  • Choice boxes (drop-down)
  • Check boxes
  • Signatures
  • Tables
  • Flexible lists

Values entered with dynamic forms can be stored both in unstructured form in the document archive, for example as a PDF, or in structured form in the ERP system as a data set (such as in SAP ERP, Microsoft Dynamics and many others). A structured confirmation can be executed in the current version for the following applications:

  • Entry of meter readings (as a measurement document at reading points)
  • Recording of master data (as characteristics of devices)
  • Checklists (as text processes)
  • Code groups


This Dynamic Form is based on the list of meter readings from SAP. Historic meter readings are shown dynamically in the form.

Subsequent activities and processes can optionally be initiated on the backend, using the data entered. The object reference can be established with the following objects:

  • Transaction of the current order 
  • Devices (such as equipment or functional location)

The entered values are already validated automatically at entry using the XML code or the rules originating in the ERP system. In addition, individual fields or entire areas in the dynamic form can be shown or hidden depending on the entered values.

From version 4.0 of mobileX-MIP companies can design the layout of their digital forms individually. With the editing tool they can position and edit text boxes, graphics or tables via drag & drop. Logos and other graphic elements can be easily integrated into the document. For the design of the digital forms companies can use their paper forms as templates in the editing tool.
